While some companies have been using virtual meetings for years, for the majority of us, before the pandemic, the only times we attended a virtual meeting was when we engaged with family or friends over FaceTime, attended the periodic webinar, or a long teleconference without any video.
Not many businesses or employers ever considered the benefits of virtual meetings, or saw virtual meetings as a viable option, until it became a necessity almost overnight. A conference delegate management company is something to consider if you require help with virtual conferences.
The switch to virtual meetings as a normal aspect of conducting business is a promising development that should be made permanent. Not only have virtual meetings led to changes in meeting dynamics, but they’ve also provided a useful tool for improving workplace inclusion as well as work-life balance.
Most of my work week is spent in meetings. And prior to the pandemic, this normally meant that I had to take a flight once or twice a week to different locations across the country to attend board meetings. I also had to attend other kinds of meetings including lunch meetings, coffee catch-ups, business events, as well as speaking engagements.
Expedited Decision Making
Virtual meetings are usually more efficient as they do away with most of the factors that tend to slow down decision-making. Typically, no one wants to stay online any longer than they need to. And with a well-planned virtual meeting, the attendees will have already pre-read the agenda since it will have been circulated ahead of time, and the meeting will commence and conclude on schedule. Establishing virtual meeting rules, for example, picking a Chair who will keep the discussions on track, keeping your microphone muted when not talking, raising your hand when you want to speak, and setting aside time for breaks will help ensure an effective meeting in which decisions can be made in a timely and organized manner.
Fewer Discussion Dominators
Virtual meetings have provided a platform for everyone to be more involved in meetings and to have an equal opportunity to contribute as their colleagues. People that were used to dominating discussions and speaking loudly over others in the office setting will find it more difficult to do so in online meetings. It won’t be a surprise to find that most of the people who were used to dominating in-person meetings will most likely be the ones who keep forgetting that they are still on mute before speaking. They will also likely be the ones who seem to always have trouble properly positioning the camera for people to see them.
No More Power Suits
With most people now working from home or in almost empty workplaces, there has been a reduced need for intimidating power suits, high heels, and hair that is perfectly coifed. People are starting to attend meetings in clothes that they are more comfortable in or have most probably always wanted to wear. The focus has shifted from one’s look and appearance to what one has to say. Gone are the external symbols of power and success. People have become inspired to bring their authentic whole selves to meetings. What’s more, people don’t have to waste time getting dressed and ready for the meeting.
